Privacy Policy

Midwest Feline Medical Center (“we,” “our,” or “the Clinic”) is committed to protecting your privacy. This Privacy Policy explains what information we collect through this website, what the website does in your browser, who helps us run it, and how long we keep what we collect.
1. Information We Collect
Information you provide
When you submit the new-client intake form, contact us, share an experience, or sign an estimate through this website, we may collect:
- Your name, mailing address, phone number, and email address
- The names, phone numbers, email addresses, and roles of other household members you list, and whether each of them may pick up your animals or discuss medical decisions
- Your cat’s name, breed, age, weight, microchip number, medical history, and any special handling needs
- Information about other household pets
- Photos and documents you choose to upload, which may include photos of you and of household members (for identification) and photos of your animals
- The name of your previous veterinarian and, if you choose, your authorization for them to release your cat’s records to us
- Your emergency treatment authorization and the amount you authorize
- Your reason for the visit and preferred appointment dates
- Your typed signature, the date and time you signed, and any written authorizations you provide
- The internet (IP) address the form was submitted from, which we record to detect abuse of the form
Information collected automatically
This website runs a small visitor counter of our own; it is not a third-party analytics service. When you visit, the site stores a random visitor ID in your browser (kept for up to 13 months, then replaced) and a session ID for the current browser tab. For each page you view it sends us the visitor ID, the session ID, the page address, the page that referred you, your screen width, any campaign tags (UTM parameters) in the link you followed, how long you stayed on the page, and how far down you scrolled. Our server adds a salted hash of your IP address (not the address itself) and the browser, device type, and operating system reported by your browser. We use this to count visits and see which pages are used. It is not combined with the information you enter in a form, and it is deleted after 13 months.
If your browser sends a Global Privacy Control or Do Not Track signal, the visitor counter does not run at all. There is no other opt-out for it.
2. Error Monitoring, Maps, and Other Third-Party Services
Error monitoring (Sentry)
We use Sentry, an error-monitoring service, to find and fix problems with the website. If a page hits a software error, your browser sends Sentry a report with technical details (the page address, your browser and device type, and the error itself) together with a replay of your session on the site. In the replay all text you saw or typed is masked and images and media are blocked before anything leaves your browser; it shows the structure of the pages, not their contents. About one in ten page views also sends Sentry a short performance measurement (page address and load timings) even when no error occurs. Sentry stores this data on servers in the United States. We do not send Sentry your name, email address, or the contents of any form.
Google Maps
The home page and the contact page embed a Google Maps map of our location. The map is loaded directly from Google, so Google receives your request for it, along with the address of this website, and Google may set its own cookies in your browser. Google’s use of that information is described in Google’s privacy policy. No map is loaded on any other page.
3. Cookies and Browser Storage
This website does not set cookies of its own. The server that answers the website’s data requests (hosted on Microsoft Azure) sets two cookies, ARRAffinity and ARRAffinitySameSite, which route your requests to the same server for the length of your session; they are deleted when you close your browser.
The website keeps the following in your browser’s own storage rather than in cookies:

You can clear all of these at any time through your browser’s settings. The site works without them.
4. How We Use Your Information
- To schedule and manage veterinary appointments
- To follow up on intake forms and provide clinical care
- To send appointment reminders and post-visit communications, and, only if you opt in on the intake form, clinic news and updates
- To respond to your questions or requests
- To understand how the website is used and to keep it working
- To comply with applicable legal and regulatory requirements
We do not use your information for automated profiling or sell it to third-party advertisers.
5. Sharing of Your Information
We do not sell or rent your personal information. We may share it with:
- Service providers that run parts of this website for us, under confidentiality obligations: Microsoft Azure (hosts the application, its database, and the files you upload), Hostinger (hosts the website pages), Resend (delivers our email), Sentry (error monitoring, as described above), and Google (the embedded map)
- Veterinary specialists or referral clinics when required for your cat’s care, with your knowledge
- Legal authorities when required by law or to protect the safety of persons or animals
6. Data Security
We use industry-standard technical measures, including encrypted connections (HTTPS) and access-controlled servers, to protect your information. Files you upload are stored in private storage and are only viewable by clinic staff who sign in. No transmission over the internet is 100% secure; we cannot guarantee absolute security.
7. Data Retention
- Website form submissions and uploaded files are kept until clinic staff delete them or approve them into your client file, whichever comes first.
- The IP address recorded with a form submission is deleted after 90 days.
- Visitor counter records are deleted after 13 months.
- Error reports and replays are held by Sentry for a limited period under its data retention policy.
- Client records are retained for a minimum of five (5) years following the last appointment, consistent with Missouri veterinary licensing requirements.
You may request deletion of records that are not subject to a legal retention obligation.
8. Children’s Privacy
This site is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has submitted information through this site, please contact us so we can remove it.
9. Your Rights
You may request:
- A copy of the personal information we hold about you
- Correction of inaccurate information
- Deletion of information not subject to legal retention requirements
To make a request, email us at frontdesk@midwestfeline.com or call us during clinic hours. Visitor counter records are not linked to your name, so we cannot look them up for you; clearing your browser storage removes the ID on your device.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected in a new effective date posted at the top of this page. Continued use of the site after a change constitutes acceptance of the updated policy.
